Cancellation Policy

We understand that unplanned issues can arise, and you may need to cancel an appointment. If that happens, we respectfully request that scheduled appointments be cancelled one business day in advance.

Our doctors want to be available for your needs and the needs of all our patients. When a patient does not show up for an appointment, another patient loses an opportunity to be seen.

Although we have always had a cancellation policy, circumstances have caused us to enforce a policy of charging for no-show appointments and appointments not cancelled within 24 hours, as well as if you arrive too late to be seen.

As of February 1st, 2024, a fee of $100.00 will be assessed if we do not receive a call to cancel an appointment. “This fee is NOT covered by insurance.”

No-Show Policy

We are committed to providing exceptional care to all our patients in a timely manner. To help us continue providing the highest quality medical care without undue delay to our patients, we have implemented the following No-Show Policy.

Definition of a No-Show: A “no-show” is any missed appointment that occurs when a patient fails to arrive for a scheduled appointment without notifying the clinic at least  24 hours in advance.

Policy:

  1. Notification: If it is necessary to cancel your scheduled appointment, we request that you call at least 24 hours in advance. Appointments are in high demand, and your early cancellation will allow another patient access to timely medical care.
  2. First No-Show: The first time there is a no-show, we will send a reminder to the contact details on file, informing you of the missed appointment and the importance of timely cancellation.
  3. Subsequent No-Shows: If a second no-show occurs within a 12-month period, a fee of $100 may be charged to your account. This fee is not covered by insurance and must be paid prior to your next appointment.

Exceptions: We understand that emergencies and unforeseen circumstances occur. If you are unable to make your appointment due to an emergency, please let us know as soon as possible so we can adjust the charges accordingly.

Appointment Reminders: As a courtesy, Pincher Creek Medical Clinic will send a reminder for your appointment via [text/email/call] [24/48] hours before your scheduled time. Please ensure your contact information remains up to date.
